Why collect data before unenrolling a student?
When a student is unenrolled from classes in Otus, their data is archived. These steps will ensure the necessary data is collected before they are removed from class roster(s).
❗️These steps must be completed while the student is still enrolled in their classes. If they have already been removed, they need to be added back so their information can be repopulated.

Download the Student Gradebooks(s)
When you are in the gradebook, select the ellipsis in the upper right-hand corner and select Download as CSV. You will do this for each class and each gradebook that the student is enrolled in.
💡 Tip: If there is data for multiple Grading Periods, Grading Scales, or Mastery Settings, ensure you download each one individually. Clicking the download button will retrieve the data displayed on the page at that moment.
Generate Report Card(s)
☝️ We recommend generating report cards for all data collected this year. If your district has grading periods in place, ensure you generate a report card for each grading period.
❗️Generating report cards can only be done in an Admin Account.
You have the option to generate report cards for Assessment (points-based) data, Standards data, or both. Please refer to the linked instructions below for detailed guidance.

💡 Tip: Report cards generated in Otus are not automatically saved. To ensure future access, download and save the report card to your device. Once a student is removed from their classes, their data will no longer be available.

Add Downloads to Student Profile (Optional)
Saving the downloaded items to the student portfolio is not mandatory but does ensure easy access to the files if the student ever re-enrolls in the school district.
To access the Student Profile, navigate to the Students tab of the Classes module. Then click on the student's name to see their Student Profile:
Select the Information tab, then scroll down to the Attachments section. Select + Attachment.
Choose to Upload File. Locate the file on your device, give it a name, then select Save.
You will now see the file as an attachment that you can use to reference grades and data if the student re-enrolls in the district.
