Gradebook Settings

The following information applies to both the assessments view and the standards view.

My gradebook module won't load.

✅ Solution: Check your classes to see if they have grade levels listed.

If your district's grading scales are associated with particular grade levels, the gradebook won't know what information to load until there are grade levels associated with each of your classes.

  • Step 1: Navigate to the Classes module and check the Grade Level column.

Some of the grades are not showing in the gradebook.

✅ Solution: Check the Grading Period.

If your school has set up grading periods in Otus, the gradebook will display the current grading period by default.

If certain assessments are appearing in a previous grading period, it's because the due date or the submitted date fall within the dates of that grading period. Add or adjust the due date to move the assessment to a different grading period.

Assessment grades were added to the wrong class.

✅ Solution: You can manually transfer those grades to the correct class.

If you accidentally assigned an assessment to the wrong class or added assessment grades to the wrong class in the gradebook, here's how you can add those grades to the correct gradebook.

For Plus (+) Assessments

  • Step 1: In the Gradebook module, locate the class where the grades are currently posted, and select Download as CSV.

  • Step 2: Locate the class where you want to move the grades, and add a + (plus) assessment to the gradebook for that class. Re-enter the grades in the correct class, using the CSV file you downloaded as a reference.

  • Step 3: Now that the grades have been added to the correct class, you can delete the + (plus) assessment from the incorrect class.

For Simple, Advanced, or Rubric Assessments

  • Option 1: Assign the assessment to the correct class. Students will either need to retake the assessment in the correct class, or you can manually grade each student's assessment based on their original responses. Once their new grades have been recorded in the correct class, you can unassign the assessment from the incorrect class.

  • Option 2: If the assessment is points-based and is not linked to standards, you can enter the total grade for each student as a Plus (+) assessment in the correct class by following Steps 1 & 2 above. If you would like to keep a record of the students' responses, leave the original assessment assigned to the incorrect class, but uncheck the box for "Include Score in Final Grade". If you do not need to keep a record of the students' responses, you can unassign the assessment from the incorrect class after the grades have been entered in the correct class.

Assessments View

The following information is specific to the assessments view of the gradebook.

All students show a total score of 0 in the assessments view.

✅ Solution: Check your weighting.

It may be that the assessment type you've selected is not included in your weighting percentages. You can either adjust your weighting or change the assessment type (category) if possible. Check to see how your weighting is configured.

  • Step 1: Select the ellipsis in the upper-right corner of the assessments view.

  • Step 2: Select Weighting.

In the example below, only the assessment categories of Assignment, Quiz, and Test will be calculated as part of the total grade, since those are the categories with a weighted percentage listed.

To quickly check the categories of the assessments you have already assigned or added to the gradebook, click on an individual student name in the gradebook for that class. When viewing grades for an individual student, the category for each assessment is listed in the Type column.

💡Tip: Changing the type (category) will update any instance of the assessment that has been assigned. The only exception is advanced assessments, which cannot be changed after assigning.

Standards View

The following information is specific to the standards view of the gradebook. There are a few important details to note:

  • You will see all standards assessed on any assessment with a due date in the current grading period. If your district does not use separate grading periods, you will see all standards assessed in the year and a cumulative overall standard score.

  • The overall standard score will be calculated by the default mastery setting established by the district in the Main Admin account.

  • All standards assessed using the default grading scale will be visible. The default grading scale is listed first in your list of available grading scales.

I can't locate all of my grades.

✅ Solution: Check the class you've selected.

Be sure you are viewing the correct class. Use the dropdown menu to select different classes.

✅ Solution: Open the standards view of the gradebook.

Be sure you are looking at the standards view and not the assessments view.

❗️Based on your district's settings, the standards view may be on the left. Some districts also choose to disable the assessments view.

Solution: Check the grading scale that is visible.

Many districts have multiple grading scales enabled. You may need to select the correct grading scale from the dropdown menu to locate the standards you assessed. Check out this article to see how to filter by grading scale.

Solution: Select the correct grading period.

If your district has both grading periods in place, you will have the option to choose between the school year and whatever grading periods have been set up. Use the dropdown to select the correct grading period.

💡Tip: The gradebook uses the due date of an assessment to determine which grading period the standards performance falls into. If an assessment does not have a due date, the graded date is used instead.

Solution: Verify the standards selected in Filter Standards.

Select Filter Standards from the ellipsis menu to view which standards are selected. If a standard is deselected in the filter menu, that means the standards performance data will not be visible in the standards view.

The filters in each view of the gradebook are sticky. That means that once you select specific filters, they will remain active until you either deselect those filters or log out of Otus.

Solution: Verify the assessments selected in Filter Assessments.

Select Filter Assessments from the ellipsis menu to view which assessments are selected. If assessments are selected, the standards performance data from the attempts (or questions) within that assessment are displayed and included in the overall standard score. If an assessment is not selected, any standards performance data linked to that assessment's questions is not included in the overall standard score.

The filters in each view of the gradebook are sticky. That means that once you select specific filters, they will remain active until you either deselect those filters or log out of Otus.

Gradebook grades do not match report cards.

At times, you may be verifying the report cards that were printed by your admin team and notice a discrepancy between what is printed on the report card and what you see in your gradebook. Most often, the reason is simple. If you still are seeing discrepancies after trying these things, please do not hesitate to reach out to our support team through chat.

✅ Solution: Verify the mastery settings being used on the report card.

Many districts have multiple mastery settings enabled. You may see options such as Mean, Mode, Most Recent, Highest, and Decaying Average. Each of these options will calculate the standards data differently. Ensure you are using the same mastery setting in the standards view that your district had selected when running the report cards.

✅ Solution: Check the other filters that were mentioned above.

Any of the filters mentioned above may lead to gradebook grades not matching report card grades. Be sure to view all filtering options to ensure you have the same filters in place that the gradebook was generated with.
