Frequently asked questions for districts using Clever to roster students in Otus.

Please use the information below to help clarify any questions you may have regarding how Clever and Otus work together.

How does the sync work between our district SIS, Clever, and Otus?

A successful sync between Clever and Otus must occur in order the data to display in your account. Once this sync occurs, the data that your Student Information System (SIS) had shared with Clever will then be reflected in the Otus platform. Clever syncs with Otus every 24 hours overnight.

If my district uses Clever for rostering, how are teacher, student, and admin accounts created in Otus?

  • Admin Accounts: Administrator accounts must be manually created in Otus.

  • Teacher Accounts: Teachers must have a record and email address in Clever to be automatically created in Otus.

  • Student Accounts: Students must have a record and email address in Clever to be automatically created in Otus.

How can I update an email address for a student or teacher in Otus?

Email adjustments for students and teachers should be made directly in your SIS. Please know that it will take up to 15 minutes for the email to be updated in Clever and then an overnight sync for the email change to be reflected in Otus.

If your student requires immediate access to Otus, and cannot log in because of an incorrect email address, please reach out to Otus Support in the chat feature so that we may further assist you.

How do I add a co-teacher to my class if my district uses Clever for rostering?

  • If the co-teacher you wish to add is NOT in Clever or your SIS and the class currently has no co-teachers listed in Clever, you can add the co-teacher manually in Otus.

  • If the co-teacher you wish to add is NOT in Clever or your SIS but the class DOES already have at least one co-teacher listed in clever, this new co-teacher will need to be added as a co-teacher to the class in your SIS or Clever. If you try to add them manually in Otus, the nightly sync will remove them.

  • If the co-teacher you wish to add IS in Clever or your SIS, the teacher will need to be added as a co-teacher in your SIS or Clever. If you try to add them manually in Otus, the nightly sync will remove them. Your district can manually add co-teachers to sections in Clever directly from a section's detail page. Sections can be accessed using the search bar at the top of your Clever dashboard.

A student is missing from my class roster in Otus. Why?

If a student(s) is missing from your roster in Otus, here are a few things to check.

  • Step 1: Is this student listed in your SIS?

  • Step 2: Is the student listed in that class(es) in your SIS?

  • Step 3: Is the student listed in that class(es) in Clever yet? If not, a sync between you SIS and Clever may need to take place.

  • Step 4: Has at least 1 successful sync occurred between Clever and Otus?

If you answered yes to all of the questions above, it is likely that the student's ID will require an adjustment from a member of our team. Please reach out using the Otus chat feature to let us know that a students isn't properly rostered. In your message, please share the name of the student and their email address.

How can I add a student to my class in Otus?

In order to add a new student to your class in Otus, the student will need to be added to the class in your SIS (Student Information System). After they have been added in your SIS, it may take 1-2 days for the student to appear on your class roster in Otus. Please note that students who are manually added to a class in Otus will be removed after the nightly sync if they have not also been added in your SIS/Clever.

If my district uses Clever for rostering, how can I create a sandbox (practice) class in Otus?

Option 1: Manually create a class in Otus and add students. A manually added class in a teacher's account will not be removed by the sync. Students added to these manually created classes will also not be removed after the nightly sync. (Note: Your district must have the manual rostering featured enabled in Otus in order to do this.)

Option 2: Create a custom section and custom students in Clever.
