ℹ️ This feature is available for participating districts; not all users will have this feature enabled. If you are interested in enabling this feature, have your district administration reach out to your Otus Client Experience Partner.

🎯 Purpose

Progress reports give families a clear snapshot of how students are performing in your classes. You can generate them for any class where you are listed as the main teacher or a co-teacher, and choose exactly what to include, from grades and standards to attendance and teacher notes.

🔑 Key Functions

  • Share student progress with families in a printable PDF.

  • Report on points-based grades, standards-based grades, or both in one progress report.

  • Include attendance, teacher notes, and signature lines alongside grades.

  • Generate progress reports for a whole class, a student group, or only the student(s) you choose.

✅ Prerequisites

  • Ensure your district has access to this feature. If they haven't, your district administration can reach out to your Otus Client Experience Partner to have it enabled.

  • Grades are entered for assessments with due dates within the time frame you plan to report on. If an assessment has no due date, Otus uses when it was submitted or graded instead.

  • Any teacher notes you want to include have the Include in Report Card option checked and are dated within the time frame you plan to report on.

🔢 Steps

Getting Started

Navigate to the Analytics module, select Progress Reports, then choose Create Progress Report.

The Progress Report page has five general areas:

  • Basic Info

  • Dates & Students

  • Performance

  • Details

  • File Format

Step 1: Basic Info

  • Title - The title appears on the left-hand side under the student name and site.

💡 Pro-Tip: Use the words "Progress Report" in the naming convention. This will help families distinguish your reports from the district reports.

Example: "Progress Report: Quarter 1"

  • Language - Choose between English, Spanish, or Chinese.

  • Student ID (optional) - Appears at the top of each progress report when selected.

  • School Logo

    • Should be no larger than 25mb

    • Should be square for best results - example: 500x500px

Step 2: Dates & Students

  • Site (school) - Select your school site.

  • Dates - Choose the date range you'd like to use.

Additional Filters (optional):

  • Classes: Selecting classes will only generate progress reports for students enrolled in those classes.

  • Groups: Selecting student groups will only generate progress reports for students enrolled in those groups.

  • Students: All students are selected by default. Deselect any students you do not want to generate a progress report for.

  • Include archived data: Progress reports cover current classes by default. To capture a student's previous academic sessions or previous school years, enable Include archived data. Left off, the report will only reflect actively rostered classes.

❗ Special Notes:

  • When selecting a student group, students who were enrolled in that group at any point during the selected time frame will be included in the progress report.

  • Sometimes there won't be any students that populate for the progress report; it most often leads back to the above settings being too specific. We recommend leaving these fields set to All when possible. For more information, check out the FAQ section below!

  • If the progress report doesn't contain expected grades, it could be because the assessment date is not within the date range selected. See the FAQ section below for more information.

Step 3: Performance

Select one or more grading scales to include. Complete the section(s) below that apply to your progress report.

Points

  • 1. Assessments: Display all assessment information for reference (Required if no standards data is included).

  • 2. Total Grade: Display the overall grade for each class (Available to participating districts).

Optional: Standards Information

This section is to include standards data that has been collected using the Points grading scale. If you wish to include standards data collected using a Standards-Based grading scale, see the Standards-Based section below.

  • 3. Standards: Select the standards to include that use the Points grading scale. If your district uses Standards Tags, this is where you will choose those tags. If your district does not use tags, we recommend choosing Select All.

  • 4. Mastery Setting: The options for Mastery Settings are Mean, Mode, Most Recent, Highest, or Decaying Average. The available options here are determined by your district's settings; you may not have all of the previously listed options.

  • 5. Total Grade: If your district has Total Grade Conversion enabled for the Points Scale, this option will become available. The total grade will appear at the top of each class as determined by those conversion settings.

Standards (Any grading scale besides Points)

Click the toggle next to the grading scale(s) you'd like to include. You will then be required to choose the Mastery Setting and Standards to use. Optionally, you can choose to include the Total Grade and Grading Scale Key.

  • Mastery Setting: The options for Mastery Settings are Mean, Mode, Most Recent, Highest, or Decaying Average. The available options here are determined by your district's settings; you may not have all of the previously listed options.

  • Standards: Select the standards to include that use the Points grading scale. If your district uses Standards Tags, this is where you will choose those tags. If your district does not use tags, we recommend choosing Select All.

  • Total Grade: If your district has Total Grade Conversion enabled for the Grading Scale selected, this option will become available. The total grade will appear at the top of each class as determined by those conversion settings.

  • Grading Scale Key: Displays the Grading Scale descriptions as set by your district. The name and description of the performance levels are displayed in a table at the top of the first page of each student's progress report.

ℹ️ Grading Scale Colors
Mastery-level bar charts will print in color for grading scales using one of the available 10 preset color options. To update grading scale colors, contact your district administrator.

❗ Special Notes

  • Not seeing expected grades? If the progress report doesn't contain expected grades, it could be because certain assessments did not use the grading scale or standards selected. See the FAQ and Troubleshooting section below for more details.

  • Standards Gradebook Override Information: If your district allows manual adjustments to the final calculation of a student's grade in the standards gradebook, any overridden score (whether made by a teacher or an admin) will appear on the progress report. It will not have any indication of being an overridden score. For more information, please see the Standards Gradebook Override article.

Step 4: Details (Optional)

Attendance, Notes, & Signatures

  • Attendance: Displays the number of tardies and absences for each class.

    • If attendance data does not exist, no attendance section will be listed in the generated progress report.

  • Teacher Notes: Displays notes from the student profile. The note must have the "Include in Report Card" option checked and must be dated within the time frame you're reporting on. The contents of the note, last name of the teacher, and the date stamp are shown below the list of standards for each class.

  • Family and/or Student Signatures: These will appear at the end of each student's progress report, just after the last class.

  • Footer Message: Displays at the bottom of every Progress Report page.

Step 5: File Format

You can choose to download the Progress Reports in a Single PDF or a ZIP File with an individual PDF per student.

  • Single PDF: generates one PDF with every student's progress report.

  • ZIP File: generates one ZIP File containing an individual PDF for each student.

    • Check the boxes next to the elements you wish to include in the file name.

Once the progress reports are complete, click Export. You will be returned to the Progress Reports Page while they process. Once they're complete, click the Download Icon.

FAQ and Troubleshooting

Click to see FAQ and troubleshooting details.

Why don't I see the option to create a progress report?
This feature is available for participating districts; not all users will have this feature enabled. If you are interested in enabling this feature, have your district administration reach out to your Otus Client Experience Partner.

What should I do if no students populate for the progress report?
Ensure that the settings for classes, groups, and students are not too specific and consider leaving them set to "All" when possible.

Why are expected grades missing from the progress report?
Check if the assessment date falls within the selected date range and that there are standards linked to the assessment. If an assessment used a different grading scale than the one you selected, its results will not appear on the progress report.

Which date is used to determine whether an assessment falls within the date range? Due Date is considered first, then Submitted Date, then Graded Date.

  • Due Date: The gradebook first looks for a due date to determine the date of the attempt.

  • Submitted Date: If there is no due date, the date the student submitted the assessment is used.

  • Graded Date: If there is no due date or submission date, the date the assessment was graded is used instead. This will be used for rubric assessments and plus assessments that are not submitted by the students.

Why don't the grades on the progress report match my gradebook?
The progress report uses the settings selected when it was generated, which may differ from what you're viewing in the gradebook. For example, a different grading scale, mastery setting, or date range may have been selected.

What should I do if I can't find the generated file?

Check your downloads folder.

Why are there blank pages on some progress reports?

Blank pages are included to allow for double-sided printing, ensuring that two students' progress reports don't appear back to back on the same page.

What's the difference between a Progress Report and a Report Card?

Progress Reports are available in Teacher accounts. They only include data for the selected class(es). Report Cards are available in Admin accounts. They include data for all classes a student is enrolled in.
