Grant Student and Family Permissions for Visibility

Educators can provide access to families and students to view and edit their student's plans.

Plans provides a way for educators to ensure that every student has a customized plan for success and growth. Students and their families can view and contribute to any personalized learning plan they may be assigned to and any progress monitoring data tracked in that plan directly in the Otus platform. This allows families and educators to partner together to support students. This article illustrates how to allow students and families to view their student's plans and add status updates.

Editing Permissions by Plan Template

Permission to access a plan in the student and family accounts can be enabled at the template level. By default, administrators can adjust permissions for any plan template that they have created.

First, navigate to the plans module. Select the ellipsis beside the plan you'd like to allow access to and choose Permissions.

Permissions can also be edited from within the plan. Open the plan and then select Permissions.


Editing Student Permissions

To allow students to access their own plans, select View Plan.

This then allows you to specify what students will have access to. Check the boxes for each specific permission you'd like to enable.

➡️ View item notes

This allows students to view any notes added to their plan.

➡️ View item attachments

This allows students to view any items attached to their plan.

➡️ Add status updates to items

This allows students to add status updates to their plan.


Editing Family Permissions

To allow families to access plans for any linked family members, select View Plan.

This then allows you to specify what family accounts have access to. Check the boxes to enable each specific permission.

➡️ View item notes

This allows families to view the notes added to their student's plans.

➡️ View item attachments

This allows families to view item attachments added to the plans.

➡️ Add status updates to items

This allows families to add status updates to the plans for any linked family members.


Applying Template Permissions Changes

Apply the permissions changes you've made to all existing and future plans or choose to only apply the changes to future plans.

➡️ Apply to all current and future plans

This will apply the selected permissions to any students already assigned to this plan and any assigned in the future.

➡️ Only apply to future plans

This will only apply the selected permissions to any students assigned to this plan in the future.

❗️These changes will only apply to the currently selected plan template. Each plan template has to be adjusted separately.


Editing Permissions by Student

Permission to access a plan in the student and family accounts can also be enabled at the student level. By default, administrators can adjust permissions for any plan template they have created. Here is how to enable those permissions.

  • Step 1: From the plans module, open the plan the student is assigned to.

  • Step 2: Select the specific student.

  • Step 3: Select the ellipsis and choose Permissions.

  • Step 4: Adjust the specific permissions for the student and any of their linked family members. Save those changes.
