Otus offers a CSV rostering option for districts to streamline the integration of their student information systems (SIS) with Otus. This method allows districts to maintain up-to-date rosters by regularly syncing CSV files. Here’s a comprehensive guide to help you get started with CSV rostering.
CSV File Formats for Flat File Integration
A direct CSV file sync with Otus involves up to seven CSV files. Each file has specific requirements and fields that must be included for successful integration. These files provide detailed information about schools, students, teachers, terms, courses, and memberships. The attached document provides the specifications for each of the required files.
Setting Up the SFTP for CSV File Transfers
Our team will create a Secure File Transfer Protocol (SFTP) server for your district to share the CSV files with us securely. This server will facilitate the automated transfer of the rostering data, ensuring your information is always up-to-date.
SFTP Creation: The Otus team will set up the SFTP server specifically for your district. This secure environment ensures that all data transfers are protected.
Schedule File Exports: You can configure your SIS to export the required CSV files and send them to the SFTP server nightly. Scheduling your CSV file exports nightly ensures that any changes or updates in your SIS are reflected in Otus without manual intervention. If you need to manually upload files to the SFTP server, please refer to our guide: How to Upload Files to an SFTP Server.
Nightly Updates: We will sync with the CSV files sent to the SFTP nightly. This regular sync process helps maintain accurate and current data within the Otus platform.
By following these guidelines and utilizing the sample templates provided, districts can efficiently manage their rosters and ensure their data remains current within the Otus platform. For additional support, please contact our support team.
