Best practices for adding a long term (2+ days) substitute teacher or temporary teacher to a class.

Adding a substitute teacher as a co-teacher to a class is an efficient way to give another teacher full access to a class without making major changes that will need to be reverted once the main teacher returns. Please view that information below based on how your district is rostered.

Manually Rostered Districts

Manually rostered districts can add a co-teacher directly to a class in Otus.


Student Information System (SIS) Rostered Districts

For districts rostered via an SIS or SFTP, any teacher can be added manually as a co-teacher to a class or they can be added as a co-teacher within the SIS. If adding a co-teacher to a class via your SIS, a successful nightly sync will need to take place to inherit that information.


Clever Rostered Districts

Adding a co-teacher to a class that is coming in from Clever will need to be done differently, based on if the substitute teacher is already listed in Clever or not.

Add a co-teacher to your Otus class who is NOT in Clever or your SIS

  • If you want to add a co-teacher to your class and this teacher is not listed in your SIS or Clever, you can do so by manually adding them to your class in Otus. They will not be removed by the nightly sync between Otus and Clever.

  • ❗If this class already has a co-teacher coming in from Clever, this new co-teacher who was manually added will be removed during the nightly sync and will need to be added as a co-teacher to the class in your SIS or Clever.

Add a co-teacher to your Otus class who IS in Clever or your SIS

  • If you want to add a co-teacher to your class in Otus and they already exist in your SIS or in Clever, the teacher will need to be added as a co-teacher in your SIS or Clever. If you try to add them manually in Otus, the nightly sync will remove them.

  • Your district can manually add co-teachers to sections in Clever directly from a section's detail page. Sections can be accessed using the search bar at the top of your Clever dashboard.

💡Tip: Co-teachers added in Clever will be seen the next day in Otus.

ATS/Stars Specific: Add a co-teacher to your Otus class who IS in Clever or SIS

  • If you want to add a co-teacher to your class in Otus and they already exist in your SIS or in Clever, the teacher will need to be added as a co-teacher in your SIS or Clever. If you try to add them manually in Otus, the nightly sync will remove them.

  • Your district can manually add co-teachers to sections in Clever directly from a section's detail page. Sections can be accessed using the search bar at the top of your Clever dashboard. This will need to be done by NYCDOE DIIT Office.

❗ATS/Stars only allows a maximum of 2 co-teachers. If you need more than 2 co-teachers, then the additional teachers will need to be removed from the SIS and Clever, then added as a co-teacher manually, directly into Otus.

💡Tips :

  • Co-teachers added in SIS will be seen within 72 hours in Clever.

  • Co-teachers added in Clever will be seen the next day in Otus after a successful sync.

What if the main teacher has left and a new teacher is taking over?

  • Manually Rostered Districts: Follow these instructions to change the main teacher of the class from the Main Admin account in Otus.

  • Clever Rostered Districts: The main teacher will need to be changed from previous teacher to new teacher. Once the changes are seen in Clever, a nightly sync will bring the changes to Otus.

  • SIS Rostered District: The main teacher will need to be changed from previous teacher to new teacher in the SIS. Once the changes are made, a nightly sync will bring the changes to Otus.

What if I need a substitute for just one day?

For single day substitutes, you can manually add them to the class(es) right in Otus, regardless of how your district is rostered.
